Information we collect

We collect the information you provide when you contact us or place an order: your name, email, telephone number, postcode, delivery address where needed, product choices, dimensions, quantities, finish, project description and correspondence. Optional photographs and images of sketches attached to the enquiry form are transmitted with your enquiry as email attachments. Images you send by WhatsApp or email also become part of that correspondence. The website does not store enquiries or image attachments in an application database or publish uploaded files. Attachments are processed transiently on the server and retained with the resulting email under the retention policy below. Hosting and email providers may also process technical information such as IP addresses, request logs and delivery status to operate and protect their services.

Why we use your information

We use enquiry information to answer questions, prepare quotations and take steps at your request before entering a contract. We use order details to fulfil contracts, arrange delivery and communicate about your purchase. We retain accounting records to meet legal obligations. Our legitimate interests include protecting the website against misuse, handling complaints and keeping appropriate records to resolve disputes. We only use information for these purposes where there is a lawful basis. The enquiry form is not a mailing-list subscription.

Services involved in processing

This website is hosted by Vercel. Website enquiries are transmitted through Resend to our business contact inbox. Our business contact mailbox is hosted by Namecheap Private Email. These services process information as needed to host the site, send messages and retain correspondence. We share information with payment and delivery providers where needed to fulfil an agreed order or meet legal obligations. We do not sell your personal information. The website does not collect payment card details; payment arrangements are agreed separately.

Maps, WhatsApp and external links

Google Maps is not loaded until you select Load map on the contact page. Loading it or following a map link connects to Google under its own privacy and cookie policies. WhatsApp links open a conversation with our workshop through WhatsApp; information sent there is also processed under WhatsApp’s policies. You can use the written address, directions, phone or email without loading the map or using WhatsApp.

International processing and security

Our service providers may process information outside the UK. Where restricted international transfers occur, UK data protection law requires appropriate safeguards, such as applicable adequacy arrangements or approved contractual safeguards. Provider processing locations and technical-log retention depend on their current service arrangements. We use HTTPS for the website, keep email-service credentials on the server and limit business use of enquiry information to the purposes described here.

How long we keep information

Enquiries that do not become orders are normally deleted or anonymised 12 months after the last contact. Order and accounting records are retained for six years from the end of the relevant company financial year, or longer where legally required. Information may be retained for longer where necessary to deal with an ongoing complaint, dispute or legal obligation. Technical logs and provider backup copies are subject to the relevant provider’s retention arrangements.

Your rights and complaints

Depending on the circumstances, you can ask to access, correct or erase your information, restrict processing, receive portable data, or object to processing based on legitimate interests. Where processing relies on consent, you can withdraw it without affecting earlier lawful processing. Contact enquiries@newquaygardenfurniture.co.uk to make a request. We normally respond within one month, subject to lawful extensions and any identity checks needed. You can complain to the Information Commissioner’s Office at ico.org.uk or by calling 0303 123 1113. You do not have to complain to us first.
